Receiving and Logging a Shipment: Building a Defensible Chain of Custody in Your Lab

A supplier’s quality control ends the moment a package leaves their dock. Yours begins the moment it arrives. The handoff at delivery is where many otherwise careful labs drop the ball — material gets tossed in a freezer, the paperwork gets lost in an inbox, and weeks later nobody can reconstruct what was received or how it was handled. Building a simple, repeatable receiving routine closes that gap. It keeps material integrity intact and keeps the provenance of every batch defensible. Here is a practical, RUO-appropriate intake process.

Step One: Inspect Before You Stow

The instant a shipment arrives is the only time you can assess its transit condition, so do it before anything goes into storage. Look at the outer packaging for crushing or punctures. Open the insulated container and check the thermal protection: is coolant present, and roughly in what state? Recall that partly thawed gel packs are not automatically a failure — cold-chain packaging is designed to spend its thermal budget over the transit window — but a package that arrived warm after a multi-day delay is a different and more serious situation worth noting.

Then inspect the material itself. Is the vial intact, the seal undisturbed, the lyophilized cake present and looking as expected? Compromised seals or damaged vials are an arrival-condition issue to document and raise immediately, not something to quietly shelve.

Step Two: Match the Material to Its Documentation

Every shipment should arrive with a lot-specific Certificate of Analysis. Confirm that the documentation corresponds to what you ordered and that it is genuinely lot-specific — carrying a unique lot identifier and a real test date — rather than a generic recycled certificate. Think of this at the document level: you are confirming that the batch you received is the batch the COA describes. If the supplier offers independently verifiable documentation, this is the moment to run that verification, while the shipment is fresh and any discrepancy can be raised promptly.

Step Three: Log It

This is the step that turns a pile of vials into a traceable inventory. A simple log — a spreadsheet is fine — should capture, for each receipt:

  • What the compound is and the lot identifier from its COA.
  • When it arrived and what its condition was on arrival.
  • Where it is being stored.
  • Verification status — whether the COA was confirmed, and how.

The value of this log compounds over time. Months later, when you need to know which batch a sample came from or whether a particular lot was ever flagged, the answer is a lookup instead of a guess. It is the in-house equivalent of the supplier’s batch records — your own honest accounting of provenance.

Step Four: Store It Deliberately

Only after inspecting, matching, and logging does the material go into storage — and into the right storage. Cold and dark for integrity, with desiccant in the enclosure, and with handling minimized to avoid freeze-thaw cycling and moisture ingress. The receiving routine and the storage routine are two halves of the same discipline: one establishes what you have and its condition, the other preserves it.

Chain of Custody Is a Habit, Not a Heroic Act

None of these steps is difficult. Their power comes from being done every time, so that no batch ever enters your inventory unexamined or unrecorded. A defensible chain of custody is simply the accumulation of these small, consistent acts — inspect, match, log, store. It is also the natural endpoint of the verify-don’t-trust ethos: a supplier can hand you well-characterized material and verifiable documentation, but only your own receiving discipline proves that what they sent is what you stored and used. Build the habit, and your lab’s records become as trustworthy as the supply chain feeding them.
